One Org Chart, Not Six Spreadsheets: A Look at Orchard

Most growing service companies end up running operations across a pile of tools that don’t talk to each other.

The org chart lives in someone’s head or a stale slide. Shifts are in a scheduling app. Hours are in a time tracker. Payroll is a spreadsheet that a finance person rebuilds every month by hand. Recruiting is in a separate pipeline tool. Office expenses are in another spreadsheet. And the list of who has which laptop is a Notion page nobody has updated since March.

Each tool works. The problem is the seams. When someone changes department, five systems need updating and three of them won’t get it. When you want to know what a project actually cost, you’re joining time-tracker exports to a payroll sheet by hand.

Orchard is built on the opposite premise: define the organization once, and let scheduling, approvals, payroll, expenses, and asset tracking all hang off that same structure.

The structure is the product

Orchard’s model is Company → Departments → Teams → people, and everything else references it.

Departments aren’t just labels. When you create one, you can give it a type — HR or Finance — and that type unlocks a specific set of tools inside it. An HR department gets the recruiting pipeline: positions, job openings, candidates, document verification, rate creation, and termination handling. A Finance department gets payroll processing, bonus and deduction management, advance payment requests, and rate confirmation. Departments without a type work as ordinary operational units.

This is a real design decision rather than a cosmetic one. The tools appear where the work happens, and the two-step rate flow — HR proposes, Finance confirms — is enforced by the structure instead of by someone remembering to send an email.

Teams sit inside departments and are built around a Team Lead. Naming a lead does something concrete: that person automatically becomes the approver for their team’s work time and day-off requests. There’s also a Spare Team Lead — a designated backup, which sounds minor until your only approver is on vacation and forty timesheets are stuck.

The parts that usually live in spreadsheets

Two modules exist mainly because the alternative is always a spreadsheet:

Expense Manager tracks operating expenses against wallets, handles transfers between them, and organizes spend by supplier and category with documents attached to each payment.

Equipment management is an asset register: inventory number, serial number, type, condition, price, current holder, and location down to the room, with documents attached to the inventory record. Status changes are tracked, and there’s a meaningful permission split — Super Admins can create and change equipment status freely, while Admins must supply a reason for any status change or edit. For a distributed team where the hardware is scattered across cities and homes, having a trail of who has what and why its status changed is worth more than the feature sounds.

Who this is for

Orchard makes most sense for service organizations with real structure: several departments, shift-based or distributed staff, hours that translate into both payroll and client billing, and enough headcount that the coordination overhead has become someone’s full-time job.

If you’re eight people in one office on one schedule, this is more machinery than you need — a time tracker and a shared calendar will do. The value shows up when the seams between tools start costing you a day a month in reconciliation.
